Governance & Spending Rules

Clear rules, controls, and accountability standards that govern every funding decision.

Who Controls the Funds

Funds are held and managed solely for the purpose of building, maintaining, and improving the SustainabilityInAction.org platform and its public-interest research tools. We don't use these funds for unrelated projects, personal luxuries, or anything outside the mission.

Current responsibility: All funds are managed by the project founder with oversight from an advisory board. As the project grows, we will transition to a nonprofit structure with formal board governance.

Spending Principles

  • Mission-First Spending: Every expense must directly support platform development, research, public tools, or operational necessities.
  • No Luxury Expenses: No high-end equipment, luxury services, or non-essential spending. We prioritize efficiency and impact.
  • Minimal Overhead: Administrative costs kept below 10% of total budget. Maximum funding goes to direct project work.
  • Priority Order: Development → Research → Public-facing tools → Outreach → Operations, in that order.
  • Fair Market Rates: We pay contractors and service providers fair, competitive rates—but not inflated prices.

Approval Rules

Expenses under $500

Single approval required from project lead. Must align with budget category.

Expenses $500-$2,000

Dual approval required (project lead + advisory board member). Documented justification required.

Expenses above $2,000

Full advisory board approval required. Competitive quotes obtained when possible. Detailed justification and alternatives analysis documented.

Conflict of Interest Policy

No payments to related parties (family members, close friends, affiliated entities) without full disclosure and explicit listing on this transparency page. Any such payments must be justified as the best value option and documented with competitive alternatives.

Current status: No related-party payments have been made to date. All vendor relationships are arms-length transactions.

What Happens If Goals Are Not Met

If the project cannot be completed or is paused for any reason, donors will have the following options for remaining funds:

Proportional refund: Donors can request a pro-rata refund of remaining funds.

Transfer to similar mission: Funds can be donated to an established nonprofit with similar environmental transparency goals (with donor consent).

Open-source release: All work completed to date will be released as open-source for public benefit.

How We Track & Report Funds

The mechanics behind the stats and ledger—how we keep everything accurate and up to date.

Update Frequency

Ledger updates within 72 hours of each transaction. Stats bar refreshes automatically with each update. Major milestones are announced immediately.

Data Sources

All financial data is sourced from:

  • Stripe payment processing
  • PayPal transactions
  • Bank account records
  • Vendor invoices and receipts

Reconciliation

We reconcile the ledger against bank and payment processor statements monthly. Any discrepancies are investigated and corrected with full documentation.

Error Handling

Corrections are made transparently. Corrected entries are marked, not deleted, with a note explaining what changed and why. Audit trail is preserved.

Independent Audit

We welcome independent review of our financial records. Once we reach $50,000 in total funding, we will commission an annual independent audit. All audit reports will be published on this page.

SustainabilityInAction.org is currently operated as an individual project, not a registered nonprofit organization. We are not a 501(c)(3) tax-exempt entity at this time. Donations are considered personal gifts to support the project and are not tax-deductible. We plan to pursue formal nonprofit status once operational milestones are reached.

Not an Investment or Security

Donations to SustainabilityInAction.org are gifts, not investments. Donors receive no equity, ownership interest, financial return, or profit-sharing arrangement. There are no investment expectations or guarantees. This is a public-interest project, not a commercial venture.

All information on this transparency page is provided in good faith and to the best of our knowledge. We strive for accuracy in all financial reporting.
